How to evaluate AI purchase-order and acknowledgement review

Reading a PDF is not the same as checking an order. Test document pairing, line-item differences and the human review that follows.

Name the documents and the decision

A purchase order compared with a supplier acknowledgement is a different workflow from matching an invoice to a receipt. Identify the exact document pair, revision rules and fields that matter: item identity, quantity, unit price, finish or delivery date where applicable. Decide which differences require a person and who can approve the next step.

Magnus is Truvo’s document-review and decision-support family. The scope reflected in this guide is purchase-order and acknowledgement pairing, comparison and human review. It does not establish automatic purchasing approval, payment authorization or a universal ERP write-back capability.

Separate extraction from a complete review workflow

Different products solve different parts of the job
OptionWhat to evaluateCommon missing responsibility
OCR or extractionCan it reliably read the fields and tables in your document formats?Pairing revisions, checking business rules and managing exceptions.
Document-review workflowCan it show the correct source pair, explain a difference and record a reviewer decision?Integration and operating ownership outside the agreed scope.
Procurement or ERP platformDoes its existing order process already handle the comparison you need?Supplier-format coverage, implementation effort and fit with your approval process.

Use a test set that can fail

Choose a permission-cleared sample representing your suppliers and document quality. Have an experienced reviewer record the correct pair and expected findings before testing the tool. Include clean matches, real discrepancies and hard cases; a polished demo document is not an accuracy benchmark.

  • Revised acknowledgements, duplicate attachments and documents belonging to another order.
  • Split lines, unit-of-measure differences, substitutions and missing fields.
  • Scans, long tables, freight or tax differences, and ambiguous item descriptions.
  • A document that cannot be paired or read confidently: it should be held for review, not treated as a clean match.
  • A repeated processing attempt: distinguish unique orders from documents, revisions and comparison runs.

Ask what the reviewer can actually inspect

For each flagged difference, ask to see the source documents, extracted values and comparison rule. Check whether a person can correct the record, explain the decision and recover an incorrectly paired case. A confidence score is not a guarantee of correctness; ask how it was assessed on documents like yours.

Keep commercial decisions with the authorized person. Document what the system may read, what it may write and what it must never approve. Confirm access controls, retention, deletion and whether your documents are used for model training before providing a sample.

Agree the cost and support boundaries

Compare setup, supplier-format onboarding, expected usage, software subscriptions and ongoing service. Ask how revisions, reprocessing and failed documents are billed. Truvo pricing is implementation-specific; no standard per-order price or accuracy guarantee is offered by this guide.

Name the owner for failed intake, changed supplier layouts, incorrect comparisons and reviewer questions. Agree support channels, coverage, escalation, change scope and extra charges. Email intake, review notifications and any ERP handoff must each be demonstrated if included in the proposal.

Measure useful findings and human effort

Track missed material discrepancies and false alerts separately. Measure time spent opening, pairing, checking, correcting and escalating each comparable case, plus administration. Count unique orders separately from repeated runs. Faster processing is not useful if staff must reread everything or important errors are missed.

Set the quality threshold before comparing active staff minutes against a matched manual baseline. Report the observation period, case mix and remaining manual work. No verified Magnus hours-saved or customer-accuracy result is available for this guide; collect that evidence before making an outcome claim.

Questions for the pilot decision
QuestionEvidence to request
Does it catch the right differences?Reviewer-labelled material errors, missed errors and false alerts.
Does it reduce work?Comparable per-case active handling time, including corrections and administration.
Can people trust the handoff?Correct pairing, visible source evidence, held exceptions and named approval owner.
Can we operate and leave safely?Support ownership, data export, retention and transition terms.
