The Challenge

A multi-community property operator needed cleaner coverage across leasing calls, after-hours demand, staff handoffs, and lead follow-up. Community managers were overloaded, some calls were going to voicemail, follow-up visibility was inconsistent, and leadership had no simple operating view of which leads needed action.

The Partnership

Truvo deployed an 8-week pilot across 3 communities. The system handled inbound sales calls, after-hours inquiries, English and Spanish conversations, inventory questions, tour booking, staff transfer and overflow, qualified lead submission into the client back-office workflow, and weekly operating reports.

The Result

The pilot handled 184 reportable calls, captured 86 leasing leads, booked 17 tours, answered 40 after-hours calls, and submitted 109 BackOffice records. Every qualified lead that met submission rules was submitted into BackOffice without a failed CRM submission.

Wolf Commercial Real Estate — a full-service commercial brokerage managing 200+ properties and 6.5 million square feet across Southern New Jersey, Greater Philadelphia, and the NY Metro — was processing hundreds of inbound inquiries across phone, email, and web forms. Under Managing Principal Jason Wolf, the firm had grown rapidly since its founding in 2012 and earned CoStar Power Broker Awards five years running, but leads were falling through the cracks and response times averaged over 4 hours.

Doliver Advisors — a Houston-based wealth management and investment firm managing over $550 million in assets since 1988 — was running deal pipeline, capital calls, and portfolio reporting across spreadsheets and disconnected tools.
