Define what answering must accomplish
When the office is closed, what should happen to an inquiry? Retaining a message, capturing structured details, attempting a transfer and confirming a booking are different jobs. Price and evaluate the action you actually need.
Use call history to estimate volume, duration and coverage. Separate routine inquiries from urgent, sensitive or complex requests. If no employee accepts transfers after hours, a receptionist cannot create an available person. Define a truthful fallback, a retained record and a follow-up owner. Not every incoming call is a qualified lead.
Compare approaches against the same work
Live, AI and hybrid services all need clear business rules and a person responsible for exceptions. Evaluate how each option handles your actual request types.
| Approach | When to evaluate it | What to verify |
|---|---|---|
| Live answering | Requests need flexible conversation or staffed judgment. | Training, coverage, authority, escalation and record quality. |
| AI intake | A bounded conversation leads to a repeatable next step. | Unclear answers, missing details, tool failures and out-of-scope requests. |
| Hybrid | Routine intake can be separated from decisions needing a person. | Transfer boundary, receiving-team coverage and unanswered-transfer fallback. |
Price the whole workflow
Ask providers to quote the same coverage and permitted actions. Choose a comparison period and state assumptions for call volume, duration and escalation. Keep setup, recurring charges, usage, extra software and internal staff effort separate.
| Component | Question to answer |
|---|---|
| Setup | Which discovery, configuration, tests and staff training are included? |
| Recurring service | Which maintenance, monitoring, answering coverage and support are included? |
| Usage | Which unit is charged, and what happens above the allowance? |
| Integrations | Which reads and writes are included; which require custom work or separate software? |
| Human escalation | Who receives exceptions and pays for the receiving team’s coverage? |
| Changes and exit | Who updates rules, and what happens to numbers, records and access when you leave? |
- Compare setup plus recurring service and expected usage over the same period.
- Add required software and staff time for escalation, correction and administration.
- Compare like-for-like actions: message-taking and staffed resolution are different scopes.
Separate answering coverage from support hours
A service may answer when its technical support team is unavailable. Record the support channel, receiving owner, response coverage, escalation route and extra charges. Customization and support need explicit scope; Truvo pricing is specific to the implementation.
Ask who configures business rules, reviews the staff handoff and handles changes. Clarify onboarding, training and maintenance. If requests also arrive by email or a form, demonstrate the information shared with the receiving team and test each agreed path separately.
Run a small acceptance exercise
Include a returning customer, an out-of-area caller, missing information, interruption, an unavailable staff member and a downstream tool failure. Inspect what the caller hears and what the office receives. Check the expected record and its next owner.
A conversation can sound successful while leaving no usable follow-up. A sent status does not establish inbox receipt or staff action. Emergency and sensitive requests need an appropriate escalation policy, with authority and receiving coverage agreed in advance.
Measure the result before expanding
Define eligible inquiries, correct handoffs, qualified leads and completed staff actions separately. Collect comparable observations before and after. Time active staff handling, including corrections, escalation and administration, and check quality. Waiting time, call duration and staff effort measure different things.
Start with the calls you receive, tools you use and people who follow up. Expand after the agreed workflow is demonstrated. An answered call is not revenue, and no savings figure follows from coverage alone.
